Facilities and HR Administrator

Refresh NI has grown significantly over the past few years and now wants to appoint a dedicated Facilities and HR Administrator. This role will have support from the Facilities / H&S Manager and the HR Director, and full training in all our systems will be given. The right candidate can also benefit from professional development in time, with accredited training provided as time goes on.

Job Purpose:

To efficiently deal with day-to-day administration in both the Facilities and Human Resources areas of the business, supporting operational teams and always upholding confidentiality.

Job duties:

Provide comprehensive administrative support to ensure the smooth day-to-day running of the Facilities function, alongside HR admin duties to support the HR function for 50 staff. You will work closely with internal staff and external contractors, maintaining accurate records and supporting service delivery across the business.

• Working to the established office procedures to ensure smooth running of all interlinking parts of the business
• Scheduling and booking vehicle maintenance, scheduling employee training, logging employee holiday requests, updating the operational planner, maintaining stock levels of workwear for staff, helping prepare for external audits etc.
• Employee record management, recruitment support, policy implementation and employee document preparation etc. (Does not include payroll)
• Timely communication with engineers and contractors as required, by telephone and email
• Dealing with customer queries in an efficient and pro-active manner
• Providing general administrative support, including filing, reporting, stock ordering as required
• Maintaining confidential database records
• Working on and maintaining database
• Any other duties as reasonably requested by management

Person Specification:

• Educated to GCSE (or equivalent) standard with a grade C or above in English and Maths.
• Experience in Excel, Word and databases essential
• Minimum of 2 years’ experience in a busy service-environment administration role
• Good organisational and communication skills essential
• Attention to detail critical
• Ability to multi-task and project manage, using one’s own initiative to solve problems as they arise
• Ability to self-motivate and work as part of a team without close supervision
